Adding Security Incidents
Security incident information is usually entered into the Property Security program at two separate times: 1.) Immediately after an incident has occurred, and 2.) After all necessary steps to rectify the situation have been dispatched or reported.
Enter Initial Security Incident Details
Access Security Incident Tab

In the Home tab menu, click Security Incident (under the Property Security heading). The Security Incident tab opens. |
Enter Known Security Incident Details

Select the security incident type from the drop-down list. (You can also filter the list of incident types by typing text into the drop-down list.) |

3.
|
Select the specific development, building, and unit in which the security incident occurred. (You can also filter the list of developments, buildings, or units by typing text into the drop-down lists.) |
- These are your agency-defined list of developments, buildings, and units which you maintain in the Setup area of the Tenant Accounts Receivable and Occupancy and Rent Calculation programs.

Specify the received date/time. This is the date and time the security incident was reported and defaults to today's date and current time. |

5.
|
Specify the dispatched date/time, and the arrival time. This is the date and time the security officer dispatched for assistance, as well as when assistance actually arrived to the scene of the security incident. |
|
6.
|
Enter the dispatched unit. |
|
7.
|
Select the employee(s) involved in the security incident by checking the appropriate checkboxes. |
- This is your agency-defined list of agency employees, which you maintain in the Setup area of the program. See "Employees"
Note: Only employees assigned to security incident employee duties, for the selected development, will be available to choose from. See "Employee Duties"

8.
|
Specify if an other agency was involved, such as the police or fire department, and select the appropriate agency action, such as "arrest." |

9.
|
Was a report taken for the security incident? Select Yes or No. |
|
10.
|
Enter any additional comments to help explain the security incident. |
Add Individual(s) to Security Incident (if necessary)
In the Individuals grid at the bottom of the screen, enter information about all persons involved in the security incident.

To select the individual/person involved in the incident, click the Search for Person link, or click . The Person Search screen appears where you can search for and select the involved individual. See "Person Search" |
Hint: To clear the selected person information, click
.

12.
|
What was their involvement in the incident? Select Complainant, Involved in this Incident, Suspect or Victim. |
Note: A Yes or No will display next to the Tenant? field indicating if the individual is a tenant.
- If necessary, click
to add another individual to the security incident.

13.
|
After selecting the individual on the Person Search screen, their address information should appear. If not, select the address type and then enter the individual's address information. |

to add another address record for the individual.
Save
|
14.
|
Click to save the security incident record. Once the security incident is deemed "completed" and finalized by your agency, you can then return to the security incident record to enter the final details. |
Enter Final Security Incident Details
Access Incident History Tab
You can use the Incident History report (or Incident Daily Log report) to quickly browse for security incident you want to work with.

In the Home tab menu, double-click Incident History (under the Security heading). The Incident History tab opens with the Incident History report already selected in the drop-down list at the top of the tab. |
Select Incident to Work With
|

Enter any information you know about the security incident into the available fields and click . All security incidents that match the entered information display in the table below. |

Click the View link in the table row of the security incident you want to work with. The Security Incident tab appears with the selected security incident's information displayed. |
Note: To use the Incident Daily Log report to find the security incident, just select it from the reports drop-down list at the top of the screen.
Enter Known Security Incident Details

If necessary, edit any of the incident's previously entered information. |
|
5.
|
Specify the completed date and time. This is the date and time the security incident is deemed "completed" and finalized by your agency. |
|
6.
|
Enter the dispatched unit. |
|
7.
|
Select the employee involved in the security incident. |
- This is your agency-defined list of agency employees, which you maintain in the Setup area of the program. See "Employees"
|
8.
|
Specify if an other agency was involved, such as the police or fire department, and select the appropriate agency action, such as "arrest." |

9.
|
Was a report taken for the security incident? Select Yes or No. |
|
10.
|
Enter the police report number, if relevant. |
|
11.
|
Check the checkbox(es) of the final actions your agency decided upon as a result of the security incident. |

12.
|
Enter any additional comments to help explain the security incident. |
Add Individual(s) to Security Incident (if necessary)
In the Individuals grid at the bottom of the screen, enter information about all persons involved in the security incident.

To select the individual/person involved in the incident, click the Search for Person link, or click . The Person Search screen appears where you can search for and select the involved individual. See "Person Search" |

14.
|

Hint: To exit out of an individual screen or tab, you can click
on the toolbar, or
next to the screen/tab name. You can also use the Escape (ESC) key on your keyboard. (If you haven't saved any changes before exiting, a message will appear asking if you'd like to save before closing.)
